This notice explains what happens to your personal information when you use this website. Coventry Diversity Forum does not currently collect personal information through the website except where you choose to submit one of the forms described below. We are committed to respecting your privacy and processing any information you do share with us in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Forms on this website

The only personal information this website collects is what you choose to enter into one of these forms:

  • Contact form — your name, email address, subject, and message.
  • Referral form— your name, role (if applicable), and contact details, plus whatever detail you choose to provide about the person you’re referring and the reason for the referral.
  • Volunteer enquiry form— your name, email address, phone number (optional), and what you’d like to help with.
  • Newsletter sign-up — your email address.
  • Donate “notify me” form — your email address (online donations are not yet live; this only registers your interest in being told when they are).

If you choose to include sensitive details in a free-text field (for example, in a referral or message) — such as health, religion, or disability information — we’ll only use it to respond to you or act on the referral, and we handle it with appropriate care.

What happens to your information

When you submit a form, its contents are sent by email directly to Coventry Diversity Forum so we can respond to you, act on a referral, or add you to the relevant mailing list. We do not store form submissions in a database, sell or rent your information, or use it for automated profiling.

Marketing

We’ll only email you for marketing purposes (such as our newsletter) if you’ve signed up to receive it. You can opt out at any time by contacting us or using the unsubscribe link in any email.

Who we share your information with

We only share personal information where you’ve consented (for example, referring you to a specialist support service) or where we’re legally required to. We don’t sell or share your information with third parties for their own marketing purposes.

How long we keep your data

We keep information submitted through this website only for as long as necessary to respond to your enquiry or referral, or, for newsletter and donation-interest sign-ups, until you unsubscribe or ask us to remove you.

Cookies

This website does not use analytics, advertising, or tracking cookies. The only thing stored in your browser is your response to the cookie banner itself (saved locally on your device, not as a cookie), so we don’t show it to you again.

Your rights

Under UK data protection law, you have the right to:

  • Request a copy of the personal information we hold about you.
  • Ask us to correct or update inaccurate information.
  • Ask us to delete your information or stop processing it, where there’s no overriding legal reason to continue.

Concerns or complaints

Please contact us if you have any concern about how we handle your personal information. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO).

Changes to this notice

We review this policy regularly and may update it to reflect changes in the law, or in how the website works. Updates will be posted on this page with a new “last updated” date.
